Who We Are
VahanConnect ("we", "us", "our") is a connected-mobility platform based at Phase 8B, Industrial Area, Sector 74, Sahibzada Ajit Singh Nagar, Punjab 160071, India. We provide GPS hardware, a web dashboard and mobile applications for iOS and Android that help individuals and businesses monitor vehicles they own or are authorised to operate.
This Privacy Policy applies to our website, the customer / vendor dashboard, the VahanConnect mobile applications, and any related services we provide. Throughout this policy, "Services" refers to all of these.

Information We Collect
We collect only the information necessary to operate the Services. Specifically:
Account Information
Name, email address, mobile number, address, GSTIN (where applicable), profile photo, password (stored as a salted hash), and the role assigned to your account (vendor, customer, driver, staff).
Vehicle & Device Data
Vehicle registration, IMEI of the GPS device, SIM number, real-time latitude / longitude, speed, course, ignition status, alarms and harsh-driving events reported by the device.
Driver Location (Optional)
If — and only if — you opt in as a driver and grant the permission, the mobile app may share your phone's foreground / background location while you are assigned to a vehicle. You can revoke this from your phone's Settings at any time.
Mobile App Data
FCM / APNs push token, app version, OS version, device model, language preference, and crash / diagnostic logs used to fix bugs. Biometric data never leaves your phone.
Documents You Upload
Images and files you choose to upload to the vehicle vault (RC, insurance, PUC, driver licence). Visible only to you and accounts you have shared the vehicle with.
Order & Payment Data
When you place a device order: customer name, billing address, GSTIN, items, amounts. Payments are processed by third-party gateways — we do not store full card numbers or UPI handles on our servers.
How We Use Information
We process the data above for the following purposes only:
Service delivery: showing your vehicles on the live map, generating trip reports, sending alerts.
Account management: creating your account, authenticating you, recovering your password, transferring devices between vehicles.
Notifications: push and email alerts for events like overspeed, geofence exit, SOS and ignition state changes.
Billing & compliance: generating tax invoices, complying with Indian GST and other applicable tax law.
Safety & security: detecting unauthorised access to your account and protecting our systems against abuse.
Product improvement: using aggregated, de-identified usage and crash data to fix bugs and improve features.
We do not sell your personal information to anyone. We do not use your data to serve third-party advertising.
Background Location Disclosure
The VahanConnect mobile apps may request background location permission on iOS and Android. This is used only for the following purposes:
Continuing to update a driver's position on the live map while the app is minimised, when the driver has actively checked into a vehicle session.
Allowing dispatchers to see ETA for assigned drivers.
Background location is never used for advertising, analytics, profiling or sharing with third parties. You can deny the permission at install time or revoke it at any time from your phone's Settings — the app will still function, but the driver-location feature will be disabled. The app does not collect background location for users who are not actively signed in as a driver on a trip.
Information Sharing
We do not sell your data. We share it only with the following categories of recipients, and only to the extent necessary:
- Within your organisation: your account administrator and other users your organisation has authorised can see vehicles and trips relevant to their role.
- Service providers we rely on:
- Google Firebase (push notifications via Firebase Cloud Messaging, crash reporting).
- Apple Push Notification Service (iOS push delivery).
- Google Maps Platform (map tiles and geocoding).
- OpenStreetMap / MapLibre (alternative map tiles).
- Our hosting and database providers within India.
- Payment gateways (Razorpay or equivalent) for device purchases — they receive only the data required to process your transaction.
- Legal authorities: only when required by a valid court order, summons or other binding legal process from an Indian authority, and only to the extent legally required.
- Successors: in the event of a merger, acquisition or asset sale, your information may be transferred to the successor — subject to the same privacy commitments described here.
How Long We Keep Data
We retain data only as long as needed for the purpose it was collected, then either delete or anonymise it.
- Account information: for the duration of your subscription, plus 30 days after deletion to handle final billing & disputes.
- Vehicle GPS history: up to 90 days of detailed trip points; aggregate trip summaries retained for the active subscription period.
- Alerts and notifications: 90 days.
- Billing records (invoices, GST data): retained for at least 8 years as required by Indian tax law.
- Crash and diagnostic logs: 30 days, then anonymised.
Your Rights & Choices
You have the following rights regarding your personal data:
Request a copy of the personal data we hold about you.
Ask us to fix inaccurate or out-of-date details.
Request deletion of your account and personal data — see our account deletion page.
Request your data in a machine-readable format (CSV / JSON) for transfer.
Revoke permissions (location, notifications, camera) from phone Settings at any time.
If we don't resolve your concern, you may contact the relevant data protection authority.
To exercise any of these rights, email support@vahanconnect.com from your registered address. We respond within 30 days.
Children's Privacy
The Services are intended for users aged 18 and above and are not directed at children. We do not knowingly collect personal data from children under 18. If you believe a child has provided us their data, contact us immediately and we will delete it.
Security Measures
We protect your data using industry-standard measures:
HTTPS / TLS for all dashboard and mobile API traffic.
Passwords stored as salted hashes — we cannot view your password.
Role-based access controls within the platform.
Encrypted database backups in India-based data centres.
JWT-based mobile session tokens with automatic expiry.
No system is 100% secure. If we discover a breach affecting your data, we will notify you within 72 hours of discovery.
International Data Transfers
Your data is primarily stored and processed in India. Some service providers (Firebase, Google Maps) may process limited data outside India under their own privacy commitments. By using the Services you consent to these transfers; the data remains protected by contractual safeguards.
Cookies & Similar Technologies
Our website uses essential cookies for sign-in sessions and CSRF protection only. We do not place tracking cookies for advertising. You can clear cookies from your browser at any time without affecting service quality.
Changes to This Policy
We may update this Privacy Policy as the Services evolve or as the law changes. Material changes will be highlighted on this page and, where appropriate, sent to your registered email. The "Last updated" date at the top of the page reflects the most recent revision.
